As CC programs wind down for the season, it was such a blessing to connect with you across the country at the Forums. Seeing you, hearing from you and sharing with you reminds me of all the blessings we have in serving in our mission of knowing and making God known.

It's hard to believe, but the academic year is half over. The time has gone by quickly! Hopefully, your strategy is planned, and you have posted your first event(s) in the calendar and are advertising them in other places, too. Now it’s time to enjoy the Advent season and Christmas. These upcoming weeks are for enjoying great family time. You've worked hard; enjoy this CHRISTmas season! This is a time to be refreshed and rejuvenated. We all need times when we can be revitalized.

Thank you for all you do to serve as Support Representatives. Your efforts give me and all CC families so much to be thankful for this Christmas season.

CONTRACTING DIRECTORS

Renewal Conversations through December 10—renewal Contracting timeline

In light of this beautiful season of giving thanks, we are so thankful for our Directors! As mid-December approaches, our hope is that you, as SR, have had enriching biblical worldview and life-giving conversations with your Directors.

All Directors should make their intentions known by December 10. It is important to understand the status of each program as we begin Sales Season, however, discretion on waiting for an outstanding Director’s decision to continue is allowed and certainly should be accommodated. As always, continue to connect with your Team Leader for support, and both of you should be under the guidance of your Sales Manager.

EXPAND CONTACT BASE

Who is our market? Christian homeschooling families! How will you reach these families in 2020? What events do your Directors already have planned?

  • Challenge A—Science Fair?
  • Challenge B—Mock Trial?
  • Essentials class—Faces of History?

Coach your Directors to use these events to expand the contact base and reach new families. Ensure that strategic events are part of your IM Map, along with your preponderance of IMs!


GROW FAMILY MEMBERSHIP

Would you like some ideas on practical ways to coach your Directors to grow and retain family memberships as we enter Sales Season?

  • Offer Internal Open House: Encourage your Directors to host an internal open house and invite your Foundations families to observe Essentials or a Challenge program.
  • Host Outreach Events: Remind your Directors that there are training webinars on how to present Information Meetings and Window into Challenge events to help grow their programs. Register through the LP with additional calls being added throughout Sales Season.
  • Host Community Events: Host an Awesome Books & Classical Conversations (AB&CC) event! This event will help highlight books and good resources that will continue to equip your families to be good teachers for their children. Parents who feel equipped will stay with CC.
  • Host 1-Day Practicum: These events will help equip families in classical education, Latin, logic, Essentials, debate, and other topics to meet the needs of the local communities.

We are now less than 30 days from Sales Season! Are you ready? Make sure you have your plan, including your IM map ready to go, so you can sail into Sales Season with your map in place! Don’t forget! January 1 begins your typical season for contracting Directors.

As you have likely heard from your Team Leaders already, we have a number of updates in our Contracting Directors process. The overall structure of the timeline has not changed—you’ll still hold your initial conversation, interview, application, calling references, running a background check, and ensuring Director training at DLO and Practicum. However, the way background checks are run and the way the contracts are issued have changed!

Please reference these new documents for new background check procedures, issuing Director contracts and updated Director onboarding checklist:

Of special note is that EVERY Director needs a background check run this year (see the background check document above.) As well there are Portal Walk Me tutorials to help you in issuing contracts and checking the status of each. Reach out to your Area Representative if you have any questions concerning these processes.

Additionally, the recontracting process for Directors has been updated as well. Please reference:

As documented in the previous link, after you have had your conversation with your Director, you will mark whether the Director is returning or not by checking a box in the Portal. There is also a Portal Walk Me to support you in completing this task. A separate Letter of Intent (LOI) link will not be sent this year. Beginning in January once you have marked a Director as returning, you will be able to issue a contract for the coming year, again through the portal. You will need to issue a contract for every Director.

Team Leader packages

Deadline to order is December 15. To order, go to the Classical Conversations Bookstore and scroll down to the bottom of the page in the footer and select Team Leader Packages. This will take you to a special collection page where you will need to use the password “Packages2019” (case sensitive).

Remember, these optional premium packages are just for YOU as a Team Leader. Please don’t share the password with anyone else. And please use your CC email when ordering.

The packages will not be available for purchase again until next fall.

THE HUB SPOT

Hubspot onboarding is complete for all regions and training has launched in Learning Pathways. Please complete your training by December 13. Additional Q&A calls will be availlable in the beginning of January in the LP.

Currently, everyone can see all of the unassigned contacts, which is nearly the whole database, because IT had to get all the new users added before assigning them. All contact owners will be assigned this month and you will begin receiving notifications by the end of December. 

  • One helpful tip will be to update your notifications from the computer. Login to Hubspot.  Click on the gear setting on the top right and go to notifications.  Turn off email temporarily while the contacts are being assigned.  You may want to turn this feature back on later and you may adjust any notifications in this space. 

  • Also, you can create a Filter or a List in the Contacts and enter in the Postal Codes in your area to find contacts. You will want to do this anyway even after the assignments have happened so you can easily find your own Contacts. Here's a quick and easy article on how to create a list: https://knowledge.hubspot.com/lists/how-can-i-create-a-list-of-all-my-hubspot-contacts

  • Do you have the APP? The HubSpot mobile APP is intended as a quick place to enter a new contact or scan a business card. Please access the application from a computer to create lists or reports and to update notifications.

2020 Sponsorships: Look for Sponsorship materials and documents on Learning Pathways on December 11. Q & A calls are scheduled and sign up for a call through LP early next week.

Challenge Guide Delivery Process for 2020: We have a wonderful improvement to our Challenge guide delivery process for 2020. 

CC Plus: Have you seen and shared the "Cost of Free" video? CC Plus is college credit for Challenge work. CC Plus provides students with transferable college credit and costs 1/6th of the average college course. Registration is open now for Challenge III and IV spring semester courses which start this January. Share the CC Plus website with your Directors and families to find more information and register for classes.

Director Gift: An email was sent from Robert Bortins on Thursday, November 28, to all Directors with a $20 gift certificate code to our online bookstore as a thank-you for their service. The coupon expires December 25. If they didn’t receive the code, direct them to contact Customer Service.

National School Choice Week: NSCW is January 26–February 1. Have you scheduled your event and posted it in the event calendar? You will need to post your meeting on the NSCW calendar and the CC event calendar separately.

SR Newsletters: During the month of December, the SR Newsletter will only have one edition on the first Friday.

PORTAL REMINDERS

Chris Ciero headshotEvent Registration: When you create an event, be sure to click the box to open the registration. This step is very important and a great way to keep track of all your contacts. Coach your Directors to open registration when creating their events too.

2020-21 Family Applications: Beginning in January, the Family Applications will be posted in Learning Pathways. Communicate with your Directors as to how applications will be accepted for returning families starting in January and then opened for new families in February. The best practice is for new family applications (new to CC or new to a community) to open February 1.

2020 Catalog preordering: 2020 catalogs will be available for preorder in the Portal starting December 9. Shipments are expected to begin after January 6. To assist you in this process, we will have step-by-step guidance available in the Walk Me Through menu, under the category of “Community” once preordering opens.

Kat Reader, Specialist, Florida: My favorite takeaway from Forum came in my last breakaway session with Michelle Oliver when she summed it up with, “Leadership starts with VALUES and the highest value is agapao love.” THIS is the heart of CC and all that we do.
